Visit Vancouver USA and Visit Valley Forge Select Meetingmax to Manage Their Event Accommodation Needs


We are delighted to welcome our newest clients, Visit Vancouver USA and Visit Valley Forge, to the Meetingmax team! Both destinations will use our online housing software to manage accommodations for events inside their respective cities.


Visit Vancouver USA is an economic development organization responsible for competitively marketing Vancouver Washington and the surrounding area as a destination for meetings, conventions, sporting events, group tours, and leisure travelers. Their mission is to promote Vancouver and Clark County and increase convention and visitor business as well as leisure travel to the area. 


 The Valley Forge Convention & Visitors Bureau is a private, non-profit membership sales and marketing organization which aggressively promotes the Valley Forge area and Montgomery County in Pennsylvania as a convention site and leisure visitor destination by promoting patronage of its member hotels, restaurants, attractions and services. The Bureau represents more than 300 member businesses throughout Southern Pennsylvania.

Both clients will use our online housing reservation system to manage group housing for their events. The Meetingmax system offers the Convention Bureaus, their hotels and their meeting planners a powerful and customizable tool that makes it simple to manage hotel room inventory.  Beyond this, our software will provide extensive reporting and tracking of key event metrics that help demonstrate these CVB’s worth, such as total number of guests in the city and total room spend per event. PSA Enlists Meetingmax for Event Housing


Company to use system to manage more 
than 300,000 rooms in 2013


Colorado Springs, CO and Vancouver, BC; October 23, 2012 – Event solutions provider PSA announced today the signing of an agreement with Meetingmax Systems, provider of the hospitality industry’s most flexible hotel reservation system.

PSA will use Meetingmax’s online system to manage the housing needs of clients including USA Triathlon, USA Fencing, and the National Senior Games Association. PSA expects to manage more than 300,000 rooms through the system in 2013.

“We are delighted to partner with Meetingmax for our event accommodation needs,” says Kurt R. Aichele, Chief Strategy Officer, PSA. “We looked at numerous providers and none demonstrated the ability to handle room bookings for large-scale, city-wide events like Meetingmax. Based on the common values held by our two organizations, we feel that we have a great relationship ahead.”

While PSA had an existing housing system, the company was looking for added functionality, more comprehensive reporting, and an integrated user experience. Meetingmax’s system will allow PSA to link housing and registration for large-scale events, eliminating the duplication of data entry and ensuring that registrants book inside reserved housing blocks. 

PSA was also looking for a way to track room nights associated with all of its clients’ events.

Welcome Carrie Dick, Our New Director Of Managed Housing!


 We are very excited to welcome our new Director of Managed Housing, Carrie Dick, to the Meetingmax team. Carrie has been with us for just over 4 weeks and already it feels like she has been with us for years.


With over 20 years of experience in hotels, event and conference management, working with national and international clients and destinations, Carrie brings heaps of knowledge, understanding and skill to the job.

Prior to Meetingmax Carrie was with Advance Group, planning and executing national and global conference and events across Canada and the United States for up to 1,800 attendees; this included managing the large guest room blocks for these events.

Previous to this, Carrie worked as the Revenue Manager and Conference Services Manager at the Fairmont Empress in Victoria BC, executing twenty five plus conferences for up to 1000 delegates annually,  helping to manage the group hotel room blocks to maximize hotel group room sales and increase overall hotel sales. This well rounded experience in our industry gives Carrie the exceptional advantage of understanding our housing technology from many different angles.

Prior to her work in the hotel and hospitality industry Carrie trained as a dancer and is a huge supporter of arts & dance to this day, regularly taking in performances and citing this as her “happy place.” She is a big Vancouver Canucks fan (when they’re actually playing), keen on F1 racing and loves to travel and experience new cultures whenever possible. She is looking forward to being a part of the dynamic team that is Meetingmax!

VIFF 2012

Tonight marks the start of the 2012 Vancouver International Film Festival!

VIFF is among the five largest film festivals in North America, featuring 380 cinematic gems from over 75 countries this year alone. The event runs from September 17 - October 12, 2012. 



We are proud to be an official sponsor of VIFF, providing the online reservation technology to manage hotel rooms for out-of-town guests, or locals who want to stay closer to the action. 

Somebody Up There Likes Me, winner if the Special Jury Prize at the 2012 Locarno film festival, is our sponsored film this year. Medicine Hat Accommodation Association Signs Up With Meetingmax


Medicine Hat, AB and Vancouver, BC: August 14, 2012 – The Medicine Hat Accommodation Association (MHAA) today announced the signing of an agreement with Meetingmax Systems, provider of the travel industry’s most flexible online housing reservation system. A group of twelve local hotels is leading the purchase to better manage group housing reservations for sports events.

“Sports events have a tremendous impact on our local economy,” says Elisha Ammann, Executive Director, Medicine Hat Accommodation Association. “The participants not only book rooms at our hotels, but they also visit local restaurants, attractions, and retailers. Sports event planners are looking for added value when they select a city for their event. Offering a system that simplifies their lives just makes good business sense.”

Using Meetingmax’s system, event attendees click one link to review participating hotels, explore their features, and book a room; planners can easily track and manage their room blocks without having to contact each hotel separately; and hotels can efficiently search, process, and report on all rooms and reservations for each group.

“Without such a system, each hotel might speak with a planner more than a dozen times to update them on the status of their block,” continues Ammann. “Being able to offer a simple but powerful online housing reservation system will make the sports event planner’s job much easier and free up hotel staff to focus on customer service instead of pulling reports.”

MHAA selected Meetingmax after conducting a thorough review of reservation systems. The organization was drawn to the low investment required and the system’s ease of use.

The Greater Des Moines CVB Teams Up With Meetingmax

See Des Moines is the official convention, sports & visitor resource for Greater Des Moines which is compromised of 12 municipalities including Altoona, Ankeny, Clive, Des Moines, Grimes, Johnston, Perry, Pleasant Hill, Polk County, Urbandale, West Des Moines and Windsor Heights. ‘Each municipality has their own Chamber of Commerce, as well as unique businesses, attractions and recreation but all have the Midwestern hospitality you expect to find in Central Iowa.’

Book Review: Succeed - How We Can Reach Our Goals by Heidi Halvorson


Meetingmax’s July book of the month was Succeed: How we can reach our goals by psychologist Heidi Grant Halvorson, Ph. D.

“The book tackles attainment of goals in every area of life from relationships to sports. Extensively reviewing past studies on self-esteem, motivation, and pursuit of goals, Halvorson sidesteps conventional notions about achieving success, particularly the idea that one should imagine oneself achieving goals easily. She cites studies showing that those who think the path is difficult invest more effort and work harder: for instance, people who believed that getting a good job after college would be easy sent out fewer applications. The ideal, Halvorson says, is to think positively about achieving one's goals but to think realistically about the effort that will be required to achieve them. Halvorson then goes on to advise readers on how to set appropriate goals, avoid obstacles, and exercise self-control to stay on track. Don't visualize success, instead visualize the steps you will take in order to succeed."  - Publishers Weekly



Meetingmax staff enjoyed the psychological standpoint of the book and appreciated the facts that supported the reasoning. As blogger, David Seah, states “If you are of an introspective nature and enjoy understanding the differences in mindset that give rise to certain behaviors, you’d find this book fascinating. If you’re looking for a DO THIS THEN THAT book, probably not.” 

All in all Meetingmax rated this book at 8.2/10 where 1 equals a book with little value one would not wish to read again, and 10 equals a fantastic book with the ability to grow an individual personally, professionally or both. We do recommend purchasing a hard copy of this book (versus an audio book) as there are some insightful questionnaires, but they are quite difficult to answer without writing down!

International Gravity Sports Association Rolls With Meetingmax


We are very excited to announce our partnership with the International Gravity Sports Association (IGSA), world leaders in skateboard and street luge racing!

Through the agreement, we will contract and manage hotel room blocks for 11 IGSA World Cup Downhill Skateboarding events on five continents.


"Given the complexity of organizing an IGSA World Cup event, accommodation often falls down the priority list for our event planners," says Marcus Rietema, President, IGSA. "With Meetingmax taking care of our housing needs and simplifying the booking process for our participants, planners and competitors will be able to focus on the events, not on finding hotel rooms."

Book Review: If Aristotle Ran General Motors by Thomas Morris

“There is nothing noble in being superior to another man, true nobility is being superior to your former self.”

Meetingmax June Book of the Month was If Aristotle Ran General Motors by Tom Morris. This book was recommended to us by one of the thought leaders at this year’s MIT Entrepreneurial Masters Program for the Entrepreneurs Organization, which Jeff Duncan, MMX President, attended this spring.



This philosophical novel applies everyday business practices to the wisdom of Aristotle, as well as the thoughts of other great philosophers. Morris notes how companies most valuable assets are people and their relationships determine the success or failure of a business.

The novel speaks of 4 guiding principles: Truth, Beauty, Goodness and Unity and the corresponding 4 dimensions of human experience: Intellect, Aesthetic, Moral and Spiritual.

Book Review: Superfreakonomics by Stephen Dubner & Steven Levitt

Our book of the month for May was SuperFreakonomics by Steven Levitt & Stephen Dubner. This witty, though-provoking novel applies economic reasoning to a wide range of real-world questions such as:
  • How is a street prostitute like a department store Santa?
  • Why should suicide bombers buy life insurance?
  • What do Al Gore and Mount Pinatubo have in common?


This month our book was selected by Mr. Speros Batistatos, President and CEO of the South Shore CVA. Speros selected this book because he found it intelligent, insightful and thought it tied in well with Meetingmax’s core values


Some key take a ways that Meetingmax staff got out of book are:
  • People are neither inherently good nor bad, they are lead in different directions based on incentive
  • There is opportunity to be found in every situation
  • Timing is key
  • Think outside the box every time
  • When you have a bold idea have the courage to follow it through, ignore criticism

Meetingmax scored this book 8.2/10 on a scale where 1 equals a book with little value one would not wish to read again, and 10 equals a fantastic book with the ability to grow an individual personally, professionally or both.

We highly recommend SuperFreakonomics; it’s an engaging novel which will enable you to open your mind to more critical thinking in everyday life situations.

Asia Says Goodbye

Today is officially the last day of my internship as a Marketing Communications Coordinator at Meetingmax- It will be so strange to leave!

As I reflect back on the last few months here at Meetingmax I can’t help but smile when I think of all the wonderful experiences I have had, and the amazing people I have had the chance to work with.

At the beginning of the internship process, I experienced a lot of anticipation about leaving the safety net of BCIT, and stepping foot into the real world of business and marketing. At Meetingmax, however, I instantly felt at home. I was immersed into a fast growing company, and given the opportunity to learn invaluable insights into the business world of smart entrepreneurship and organizational culture. Throughout the process the hands-on experience helped me grow both personally and professionally.

One of the main take-aways I took from my internship was the heavy importance placed on the company’s core values. Although many companies claim to have them, Meetingmax makes a conscious effort to incorporate them into every aspect of their company. It’s because of this everyone is happy, and employee and customer relationships are strong.

My favorite core values displayed at Meetingmax are “Make It Fun” and “Continually Grow.” I feel that these are important, because at the end of the month  (through the Meetingmax book club, or our choice of personal and professional development courses), we all learn something new and have fun while we are doing it.

Overall I had a crazy good time at my internship. I wore my Four Seasons slippers every day, handed over my ipod upon request to play on the loud speakers, and completed my “frogs” (most important task) every day.

I am very thankful for the opportunity I have had to be a part of such a great company, to learn, and to take part in the amazing 2012 Meetingmax Unconvention. I recommend that everyone attend it next year in 2013- because it keeps getting better!

2012 Meetingmax Unconvention


The 2012 Meetingmax Unconvention was a great success! It wouldn’t have been possible without all of the wonderful guests that attended this year.  

Guests from across North America attended the annual event which took place from April 25-27 this year, providing our clients with insightful workshops and learning sessions about online housing as well as an unforgettable Vancouver experience.

What made our event so unconventional?

The Unconvention is a 3-day event that consists of hands-on learning, peer to peer networking, original dining and fun entertainment outings that take place in various unconventional locations in Vancouver, BC.

This year’s theme was “The Perfect Blend,” focusing on the art and science of online housing. This theme was consistent throughout every aspect of the Unconvention, which resulted in an unforgettable event for all.

Here are some of our favorite highlights from the Unconvention:

The Welcome Reception at the Meetingmax office included an Absolut Vodka Mixology event. Jacob Sweetapple from Absolut showed us how to mix the perfect martini:

Dinner at Sanafir, a Morrocan tapas style restaurant where we could lounge in our slippers!

After breakfast meetings at the Fairmont Hotel, lunch meetings at The Terminal City Club and an exceptional Walking tour led by the Vancouver Tour Guys, we went for dinner at C Restaurant- a contemporary fish restaurant on the False Creek Waterfront:

On the last day of the Unconvention, lunch meetings were held at the Lonsdale Quay Hotel in North Vancouver. This gave guests the opportunity to walk around the market and enjoy the views before our bus tour of Stanley Park:
